Berkeley Lab - California - Berkeley Lab’s Energy Technologies Area (ETA) is looking for an Executive Administrator to join their Operations Team. In this role, you will provide complex executive-level administrative support to senior management and strategic programmatic initiatives. This role will provide calendar management, stakeholder correspondence, meeting and event coordination, agenda and document preparation, expense reporting and reimbursement, and travel arrangements. What You Will Do: Serve as the main point of contact for the Energy Storage Center Director, as well as other activities in ETA’s Area Office. Provide a wide variety of high-level administrative support including calendar management, stakeholder correspondence, meeting coordination, agenda and document preparation, travel arrangements, and expense reporting. Coordinate all aspects of strategic area-wide onsite or virtual events, meetings, and seminars including dates, locations, invites, audio/visual arrangements, web conferencing, agenda, presentation materials, etc. Serve as an Ergonomics Advocate for ETA including identifying ergonomic issues, performing preventive evaluations, and providing recommendations. Serve as the Travel Specialist for senior management using thorough knowledge of travel policies and calendaring practices, while interfacing with staff throughout LBNL, Lab Directorate, University of California, DOE, and other key contacts. Develop and maintain relationships with a variety of entities both internal and external to the area including the University of California (UC) and the Department of Energy (DOE) using a high degree of discretion, diplomacy, and professionalism while representing ETA. What We Are Looking For: A minimum of 2 years of directly relevant experience providing executive-level administrative support including calendar management, scheduling, meeting and event planning, project coordination, tracking and data management, and report generation in a research, academic, or large/complex organization. Experience arranging and managing travel including partnering with external vendors (travel agencies, hotels, carriers, etc), making necessary changes, processing travel approvals and expense statements. Excellent planning and organizational skills in both a physical and virtual environment, including the ability to handle multiple tasks concurrently to meet workload demands and deadlines, to respond quickly, and maintain flexibility during periods of changing work priorities and tight time constraints. Significant experience using a variety of cloud-based software platforms and applications including MS Office Suite, Google Apps Suite, Adobe Acrobat, and Zoom web conferencing on a Mac or PC computer. Excellent verbal and interpersonal communication skills including demonstrated experience interfacing with all levels of personnel both internal and external to an organization with a high degree of professionalism, discretion, and confidentiality. Demonstrated written communication skills including experience producing professional high-quality, error-free documents, reports, and preparations. What We Prefer: Associate’s or Bachelor’s Degree. Experience with Berkeley Lab and/or University of California processes and systems. Knowledge of Department of Energy policies and procedures. Valid California Driver's License.
