Administrator (Energy Storage and Distributed Resources)

Berkeley Lab - California - Berkeley Lab’s Energy Storage & Distributed Resources Division (ESDR) is looking for a Administrator to join their Operations Team! In this role, you will perform a broad range of high-level administrative tasks to support the programmatic needs of 3 Scientific Group Leaders and their research teams. You will provide day-to-day operational support and partner with other administrative professionals within the Operations Team to coordinate large events, conferences, meetings, etc. What You Will Do: Serve as the main point of contact for the 3 Scientific Group Leaders using strong analytical skills and a high level of independent judgment to establish and maintain sustainable systems designed to assist with meeting prioritized deliverables in an efficient manner. Serve as a central point of contact to collate and disseminate information and contributions, both internal and external, for programs and initiatives in support of Group Leaders’ roles as they relate to Department of Energy (DOE) funding. Evaluate and update content for group and division websites. Create and provide recommendations to Group Leaders for relevant newsletter and announcement content based on current initiatives. Plan, organize, and coordinate all administrative support services including, but not limited to, scheduling, hiring, travel, publications, procurement, space and property matters, and other administrative functions as needed. Prepare correspondence, reviews, meeting agendas, and presentations. Assist with proposals, scientific promotions cases, project reporting, etc. Stage and/or collaborate with other administrative professionals on the Operations Team to coordinate large-scale program and division-wide events. What is Required: A Bachelor’s Degree (or equivalent knowledge) and a minimum of 3 years of directly relevant high-level administration experience including meeting and event planning, project coordination, tracking and data management, and report generation in a research, academic, or large/complex organization or the equivalent combination of education and experience. Excellent planning and organizational skills in both a physical and virtual environment, including the ability to handle multiple tasks concurrently to meet workload demands and deadlines, to respond quickly, and maintain flexibility during periods of changing work priorities and tight time constraints. Demonstrated ability to effectively interpret and communicate policy and instructions to internal and external stakeholders. Significant experience using a variety of cloud-based software platforms and applications including MS Office Suite, Google Apps Suite, Adobe Acrobat, Smartsheet, and web conference platform Zoom on a Mac or PC computer. Excellent verbal and interpersonal communication skills including demonstrated experience interfacing with all levels of personnel both internal and external to an organization with a high degree of professionalism, discretion, and confidentiality. Demonstrated written communication skills including experience producing professional high-quality, error-free documents, reports, and preparations. What We Prefer: Familiarity with Berkeley Lab (LBNL), the University of California (UC), and the Department of Energy (DOE) policies and procedures. Familiarity with web content management including using a variety of platforms such as WordPress and Drupal. Valid California Driver’s License.
