Berkeley Lab - California - Berkeley Lab's (ALS) is seeking a Procurement and Property Administrator. In this role the Administrator will review and process purchase requests, serving as the ALS division property coordinator and provide high level administrative support in accordance to Berkeley Lab policy and guidance.This role will also perform a broad range of complex and diverse daily administrative tasks including carefully monitoring action items and making day-to-day administrative decisions in a fast-paced environment. The ALS is a dynamic national scientific user facility that provides thousands of scientists from around the world access to bright beams of x-rays, infrared, and extreme ultraviolet light for scientific studies and technology development in disciplines spanning physical, chemical, materials, biological, energy, and Earth sciences. The ALS has been a global leader in soft x-ray science for more than two decades and is currently undertaking a new project that will endow the facility with state-of-the-art x-ray capabilities. What You Will Do: First point of contact for ALS eProcurement and Procurement Card (PCard) purchasing. Review purchasing requests and use a broad and in-depth understanding of procurement policy to determine the appropriate purchasing steps. Reconcile and maintain all records and receipts for PCard purchases, returns, and refunds made to their account. Assess, prioritize, track and determine appropriate action on various requests and inquiries, ensuring timely completion in accordance with Lab policy and purchasing guidelines. Update ALS purchasing intranet page and maintain content. Serve as ALS Property Coordinator. Ensure all property records are properly tracked, assigned and/or accounted for. Perform property audits and execute physical inventories. Effectively and diplomatically communicate with all levels of management and scientific staff at Berkeley Lab and external institutions. Responsible for participating in various special projects that might require independent research and analysis. In accordance with Lab policy, provide a full range of complex travel support functions, including estimating costs, reporting conference attendance for Department of Energy (DOE) and Berkeley Lab approval, researching and booking itineraries, creating travel authorizations, preparing detailed travel itineraries, and submitting expense reports. Perform other administrative duties and assist with special projects. Provide back-up support for other User Office and ALS Administrative staff. What is Required: Bachelor's degree and 4 years of related experience in providing administrative support for a wide range of functions to senior-level management in a large/complex department or division or an equivalent combination of education and experience. Ability to establish priorities and manage multiple projects through to completion in the face of constantly changing priorities. Excellent time-management and task-management skills. Attention to detail and reliable follow-through. Demonstrated experience successfully managing logistical arrangements for reviews, workshops, conferences and other events. Excellent customer service skills and the ability to proactively anticipate customer needs. Strong interpersonal skills, with the ability to interact productively with a broad range of personnel both internal and external to the lab. Experience working with scientific and technical staff, and people with diverse geographic backgrounds. Excellent project management skills. Proficient computer skills including Microsoft Office Suite, Adobe Acrobat, Visio, Smartsheet, and Google Apps. Ability to design and create spreadsheets to accurately track and manage data. Familiarity with cloud and web-based audio/video collaboration tools such as Zoom. Familiarity with web content management. Notes: This is a full-time career appointment, exempt (monthly paid) from overtime pay. This position may be subject to a background check.
